Cancellation & Refund Policy

 

WINTER 2022/23 BOOKING & CANCELLATION POLICY


PAYMENTS

Installment 1 - To secure your booking, we require 25% of the package price to be paid at the time of booking.

If you are booking within 90 days of the start date of the program, we require 100% of the package price to be paid at the time of booking.

Installment 2 - The remaining balance is due 90 days prior to the start date of the program.

 



CANCELLATIONS

 In the unfortunate case that you need to cancel your heli-skiing reservation, please familiarize yourself with the below cancellation policy. All cancellation requests must be submitted via email by clicking here. Cancellation requests submitted by phone will not be accepted.

1. CANCELLING - DUE TO COVID-19 RELATED CIRCUMSTANCES

If you are unable to travel to us, or we are unable to host you due to COVID-19 related circumstances out of your control, we encourage you to reach out to us as soon as possible to reschedule your reservation to the following year whilst seats are available. As an incentive to leave your payment on file, we will price match your package, meaning you do not need to pay the annual rate increase upon rescheduling!

If rescheduling your reservation to the following season is not feasible, please contact us to discuss a partial or full refund. This will be dependent on the circumstances surrounding your cancellation.

COVID-19 related circumstances include; 

  • the Canadian international border is closed for non-essential travel

  • a Governmental travel ban prohibiting you from leaving your home country, province or community

  • a mandatory self-isolation period is implemented either in Canada or in your home country that is not feasible for you to adhere to (i.e. 14 days or longer)

  • You, or an immediate family member, has tested positive for the COVID-19 virus (in this circumstance a medical note is required)

NOTE: It is important that you take the time to educate yourself on the requirements to travel both to Canada and to return to your home country. Being denied entry into Canada due to failure to meet entry requirements, such as proof of vaccination, will not be accepted as a valid reason to cancel your reservation and receive a refund or reschedule to a future date. 2. CANCELLING - FOR REASONS OTHER THAN COVID-19

We strongly recommend purchasing Cancellation insurance from Lifestyle Financial. This will protect your investment from unforeseen circumstances that would prevent you from participating in your heli ski program and that are unrelated to the COVID-19 pandemic. For additional information, see ‘Cancellation Insurance’ below.

Cancelling after the first installment is paid, but prior to submitting the second installment;

The first installment is non-refundable

However, we can offer you the following options;

  1. You may reschedule to a later date within the same season; however, you will be required to pay the rate difference, if applicable.
  2. You can find someone to take over your booking and they reimburse you directly. The first installment will be credited towards your substitute’s reservation, and they will be responsible for making the final balance payment. 

Cancelling after submitting the second installment;

If, within 90 days of the start date of the program and after the second installment has been paid, you need to cancel your booking, your full payment is non-refundable. In this situation we can offer you the following options;

  1. We can attempt to sell your seat on your behalf. If we are able to sell the seat, we will credit your account for the amount we sold it for minus a $500 administration fee, which can be used towards a trip in the next two winters.
  2. You can find someone to take over your booking and they reimburse you directly.

 

Other considerations;

  1. Bella Coola Heli Sports reserves the right to cancel your reservation at any time. If this happens, we will give you the opportunity to reschedule your trip for a future date, or, if you are unable to reschedule, we will issue a full refund
  2. In the event that you cancel your reservation after the first installment has been made, we reserve the right to retain the first installment and resell your seat
  3. If we have not received the second installment at least 90 days from the start date of the program, we will consider that you have cancelled your seat and reserve the right to retain the first installment and resell your seat.

Cancellation Insurance

For your protection, we strongly recommend that you purchase Cancellation and Evacuation Insurance online with Lifestyle Financial, whose policy covers Canadians and Non-Canadians.

Once a booking is made and the first installment has been paid, significant expenses and long-term commitments are incurred on your behalf. For this reason, we do not offer refunds if you are later forced to cancel your reservation.

In addition, we recommend buying Medical Evacuation Insurance. If you are injured while skiing and need to be flown to the hospital or back to the lodge, the cost of the flight will be billed to your account.

Please note that Bella Coola Heli Sports reserves the right to cancel your reservation. If this happens, you will be able to reschedule your trip for a future date.

Special note on flight changes: If you miss your flight to Bella Coola / Anahim Lake, or are unable to arrive/depart on the flights that we have scheduled on your behalf, you will be responsible for all costs associated with booking an alternative flight to, or from, Bella Coola / Anahim Lake. It is important to note that flights to and from Bella Coola  / Anahim Lake have limited departure times, and are subject to high demand. Missing your flight to Bella Coola  / Anahim Lake, or not being able to arrive/depart on the flight that we have scheduled on your behalf, may cause you to miss one or more days of your heli-skiing program. If you miss one or more days of heli-skiing as a result of flight complications, the vertical accumulated by your group in your absence will be subtracted from the total amount of vertical included in your package.

Refund Policies and Amounts

The helicopter costs of operating your heli-skiing week are by far the most expensive part of your package. We cannot afford to fly with an empty seat. This necessitates a strict policy: EACH GUEST IS RESPONSIBLE FOR THE COSTS OF THEIR SEAT.

If you decide to sit out a run in order to rest, or get injured and are unable to continue skiing/boarding, your vertical account will register the amount skied by the group you were assigned to, not the vertical you actually skied. We sympathize with those that miss out on skiing, but this policy ensures that we are able to continue flying and are able to fulfill our obligations to the other guests.

By way of further explanation, imagine that your helicopter is a taxi and you are four friends taking a ride. If one or two people ask to be dropped off halfway to the destination, the overall cost of the taxi ride does not change. 

Similarly, if for whatever reason you request to fly back to the lodge or your guide deems it necessary for you to be flown out; you will be billed for the costs of the extra flying time incurred by the company in returning you to the valley before the heliski day is finished. The costs will vary depending on the amount of flight time required. If it does become necessary for you to be flown out because of an injury, we suggest that you submit the costs of the evacuation to your insurance company. 

There is also no refund for down days per se; however, if bad weather or mechanical breakdown prevents us from providing you with the total vertical or the flying time included in the program, we will refund according to the formulas listed below.

Public Programs - Vertical Feet per person

Public programs include a designated amount of vertical feet per person, depending on the length of the program, to be used throughout the duration of the program. As an example, a 7 night Classic Vert program at Tweedsmuir Park Lodge Includes 100,000 vertical feet, of which we Guarantee 80% or 80,000 vertical feet. 

If at the end of your program mechanical issues or weather conditions have prevented you from achieving the Included or Guaranteed amount vertical feet you will be presented with two options at check-out:

For the purpose of this example, let’s assume at the end of your program the Actual vertical feet you skied was equal to 70,000.

  1. A Lodge Credit to be used towards a stay with us in one of the two following seasons. Credits are calculated based on the following formula:

Included vertical feet - Actual vertical feet x $62 per 1000 vertical feet

E.g.) 100,000 minus 70,000 = 30,000

30,000 / 1,000 = 30

30 x $62 = $1,860 as a Lodge Credit

2. A Cash Refund to be used towards lodge incidentals, gratuities, or to be returned to your account. Cash refunds are calculated based on the following formula:

Guaranteed Vertical - Actual Vertical x $62 per 1000 vertical feet

E.g.) 80,000 - 70,000 = 10,000

10,000 / 1,000 = 10

10 x $62 = $620 as a Cash Refund 

 

Private Programs - Flight Hours per group

Private programs include a designated number of flight hours per group, depending on the length of the program, to be used throughout the duration of the ski/snowboard program. 

As an example, a 7 night Private program at Tweedsmuir Park Lodge Includes 8 flight hours, of which we Guarantee 80% or 6.4 flight hours. 

If at the end of your program mechanical issues or weather conditions have prevented you from achieving the Included or Guaranteed amount flying hours you will be presented with two options at check-out:

For the purpose of this example, let’s assume at the end of your program the Actual flight hours your group flew was equal to 6.

  1. A Lodge Credit to be used towards a stay with us in one of the two following seasons. Credits are calculated based on the following formula:

Included flight hours - Actual flight hours x *$3,780 per 1 flight hour

E.g.) 8 minus 6 = 2

2 x *$3,780 = $7,560 as a Lodge Credit

2. A Cash Refund to be used towards lodge incidentals, gratuities, or to be returned to your account. Cash refunds are calculated based on the following formula:

Guaranteed flight hours - Actual flight hours x $3,780 per 1 flight hour

E.g.) 6.4 - 6 = 0.4

0.4 x *$3,780 = $1,512 as a Cash Refund

*Please note that the rate per flight hour varies based on the helicopter type and the package purchased.
